Key Responsibilities:
Administrative Support:
- Manage the executive’s calendar, including making appointments and prioritizing the most sensitive matters.
- Handle incoming and outgoing communications, including emails, phone calls, and other correspondence.
- Prepare reports, memos, invoices, letters, and other documents.
- Conduct research and compile data to prepare papers for review and presentation by executives, committees, and boards of directors.
- Draft, review, and send communications on behalf of the executive.
Meeting Coordination:
- Plan and orchestrate work to ensure the executive’s priorities are met, organizational goals are achieved, and best practices are upheld.
- Organize and coordinate meetings, conferences, and travel arrangements.
- Attend meetings and take detailed notes to ensure actionable items are tracked and followed up.
Project Management:
- Assist with special projects, including project planning and coordination.
- Manage and maintain records, documents, and files, ensuring confidentiality.
Stakeholder Management:
Office Management:
- Oversee office supply inventory, ordering additional supplies as needed and ensuring that costs are appropriately managed.
- Perform basic bookkeeping tasks.
Required Qualifications:
- Bachelor’s degree in business administration or a related field preferred.
- Proven experience as an executive assistant or other relevant administrative support experience.
- In-depth understanding of the entire MS Office suite.
