Key Responsibilities:

Administrative Support:

  • Manage the executive’s calendar, including making appointments and prioritizing the most sensitive matters.
  • Handle incoming and outgoing communications, including emails, phone calls, and other correspondence.
  • Prepare reports, memos, invoices, letters, and other documents.
  • Conduct research and compile data to prepare papers for review and presentation by executives, committees, and boards of directors.
  • Draft, review, and send communications on behalf of the executive.

Meeting Coordination:

  • Plan and orchestrate work to ensure the executive’s priorities are met, organizational goals are achieved, and best practices are upheld.
  • Organize and coordinate meetings, conferences, and travel arrangements.
  • Attend meetings and take detailed notes to ensure actionable items are tracked and followed up.

Project Management:

  • Assist with special projects, including project planning and coordination.
  • Manage and maintain records, documents, and files, ensuring confidentiality.

Stakeholder Management:

  • Act as a point of contact between the executive and internal/external stakeholders.
  • Build relationships crucial to the success of the organization and manage a variety of special projects for the executive.
  • Office Management:

    • Oversee office supply inventory, ordering additional supplies as needed and ensuring that costs are appropriately managed.
    • Perform basic bookkeeping tasks.

    Required Qualifications:

    • Bachelor’s degree in business administration or a related field preferred.
    • Proven experience as an executive assistant or other relevant administrative support experience.
    • In-depth understanding of the entire MS Office suite.
